Wood Flooring Sample Approval: AB Grade Red Oak for Projects

Wood flooring sample approval should confirm more than a preferred color. For an AB Grade red oak project, record the sample identity, color, grain appearance, agreed grade criteria, surface treatment, and product specification together. Identify what has been approved and what remains open. For matching stairs, review coordinated samples while maintaining separate specifications. An approved sample provides an appearance reference; it does not promise identical boards, define unprovided knot limits, or establish installation or commercial performance.

1. Identify Exactly What the Sample Represents

Before reviewing appearance, connect the sample to a specific product. Record its reference, review date, wood species, grade, and proposed configuration. A loose piece labeled “red oak” is not enough to identify the complete flooring order.

For VIF’s reference product, the flooring specification is 3000 × 190 × 20/6 mm: three-meter boards, 190 mm wide, 20 mm overall thickness, and a 6 mm red oak face. It uses a multilayer engineered construction. The substrate is described as poplar/eucalyptus plywood, with the specific configuration confirmed for the order.

A sample should not be assumed to verify every dimension or concealed construction detail. Check those items against the written specification. If the sample is intended only for color review, label that purpose clearly.

Use the [AB Grade three-meter red oak engineered flooring] as the product reference when assembling the approval documents.

2. Review Color, Grain, and Grade Separately

Start with color. The listed color direction is Natural Oak/Stain, and color customization is supported. Place the proposed sample beside the project’s cabinetry, stone, wall finishes, and textiles. Record the selected color reference rather than relying on a general description such as “warm natural.”

Next, review grain appearance and natural variation. Ask whether the available samples provide a useful reference for the appearance the project team expects. Discuss any additional sample material needed to clarify that expectation.

Then address AB Grade independently. AB should not be interpreted as completely knot-free. No knot dimensions, proportions, crack limits, or filler criteria have been provided for this product, so these should not be invented during specification writing.

Agree on written appearance criteria and the corresponding sample reference. Keep any unresolved grade questions visible until both parties have confirmed them.

3. Turn the Review into a Written Approval Record

A short approval record should let another project team member understand the decision without attending the sample meeting. Separate approved items from comments requiring clarification.

Approval ItemWhat to RecordQuestion to Resolve
Sample identityReference, date, product name, reviewerWhich physical sample is the agreed reference?
ColorSelected color and any custom-color referenceIs color approved or still under review?
Grain and variationRepresentative photographs and written commentsIs further sample review needed?

Stair coordinationSeparate tread and riser referencesAre color and component details approved separately?
Approval statusApproved items, open items, responsible personWhat must be confirmed before order release?

Photographs can support the record, but identify which physical sample they document. If a sample is revised, assign a clear reference and state whether it replaces the earlier version.

Avoid an unexplained “approved” note when only the color has been accepted. Color approval should not silently become approval of grade, construction, or installation details.

4. Approve the Finished Surface and Matching Stairs

The red oak flooring combines brushed and smoked treatments with UV lacquer and micro-beveled edges. Review that finished combination. If a reference sample uses another treatment or coating, record the difference before relying on it.

Matching AB Grade red oak stair treads and risers are available as separate products. The floor has a 6 mm oak face; the stair components have a 2 mm oak face within 20 mm total thickness. Color coordination does not make those specifications interchangeable.

The stair reference sizes are 1220 × 330 × 20/2 mm for treads and 1220 × 178 × 20/2 mm for risers. Confirm the dimension-to-use relationship in writing before finalizing drawings. Stair dimensions, shapes, and colors can be customized.

Review the [matching red oak stair treads and risers] alongside the floor sample. Confirm nosing, front-edge details, grooves, installation interfaces, and quantities through drawings and approved samples. The stairs are brushed and UV lacquered; do not automatically assign the floor’s smoked treatment to them.

5. Separate Sample Approval from Order and Installation Confirmation

Sample preparation takes 10–15 days for these products. This does not mean free samples or include transportation time. Identify who will review the samples and how comments will be consolidated before requesting revisions.

The flooring MOQ is 500 square meters. Stair quantities and MOQ are discussed separately. Production is 50 days after receipt of deposit, subject to order confirmation, and payment is by T/T. Production timing is not arrival timing.

The flooring specifies glue-down installation. Underfloor heating is listed as applicable, subject to the product installation guide and heating-system requirements. These matters need technical review alongside appearance approval.

Before releasing an order, check that the approved sample, grade criteria, product specification, quantities, and purchasing schedule agree. A signed appearance record should not be treated as proof of load capacity, slip resistance, or commercial wear classification.

6. Frequently Asked Questions

Does an approved sample guarantee identical boards?

No. It provides an agreed appearance reference. Natural grain and color variation should be addressed through representative samples and written criteria.

Does AB Grade mean completely knot-free?

No. Do not replace AB Grade confirmation with a knot-free promise. Agree on the written appearance requirements without inventing unprovided limits.

Can we approve color before confirming the construction?

Yes, provided the record clearly states that approval is limited to color. The complete configuration, including the plywood details, still needs confirmation before ordering.

Can the floor sample also approve the stairs?

It can support color coordination, but the stair samples, drawings, and specifications require separate approval. The floor and stairs have different oak face thicknesses.
